Job Description

Summary:
Under general supervision collect review analyze and summarize clinical data used to measure quality of patient care. Abstract confidential medical information from records. Enter information into computerized database. Prepare and analyze related report and present information for review. Provide a variety of secretarial duties such as typing scheduling appointments for procedures in multiple rooms simultaneously. Processes and reconciles billing information. Managing a multi-line telephone system.

Responsibilities:

Types a variety of materials including correspondence memos forms medical and statistical reports; may type manuscripts grant proposals and/or abstracts. Corrects grammar and punctuation and may edit for content and/or revise wording at own discretion. May use dictation equipment shorthand or speedwriting.


Composes memos and/or routine correspondence such as requests for information explanation of bills and confirmation of appointments. May compose rough drafts of more detailed correspondence from supervisor*s instructions or according to own knowledge of situation. May design and prepare departmental forms flyers and announcements.


Answers telephone and receive visitors into the area. Ascertains needs and prioritizes calls for handling by others. Responds to inquiries regarding services provided by the department and departmental policies and procedures.


Discusses factual information with others on the hospital staff and with persons outside the hospital including patient information lab results scheduling billing departmental policies etc.


Maintains supervisor*s schedule of appointments and may schedule appointments without prior clearance; makes travel arrangements. May schedule patients* visits and assemble necessary materials prior to appointment.


Schedules and organizes materials for meetings and conferences. Attends certain meetings to transcribe and compose minutes; distributes minutes to appropriate persons.


Maintains departmental records including such confidential information as budget payroll patient and personnel data. Files updates and purges records as necessary including data entry storage and retrieval via CRT.


Maintains department statistics as required by the hospital and/or accrediting and government agencies. Compiles prepares and types recurring statistical reports including tallying and summarizing data. May update departmental policy/procedures manual by incorporating revisions received.


Orders office and medical supplies and processes purchase orders prepared by others within the department. May meet with vendors to review new office supplies or equipment.


Obtains books periodicals and reference materials from library as requested. May maintain departmental resource library including cataloging and checking materials in and out.


Operates office equipment such as photocopier calculator dictation equipment and CRT.


Provides functional guidance to new employees regarding the clerical operations of the department.


Depending on the organizational unit may serve as office receptionist.

BASIC KNOWLEDGE:

Work requires the skills normally acquired through completion of High School education or GED.

Up to six months of special training such as a course in correspondence typing and/or medical terminology.

Proficient typing skills are required in order to prepare a variety of materials as well as the ability to operate other standard office equipment.

Demonstrated knowledge and skills necessary to provide care to patients with consideration of aging processes human development stages and cultural patterns in each step of the care process.

Organizational skills to gather assemble and maintain department statistics and records and to arrange supervisor*s calendar.

Math skills necessary to prepare statistical reports involving tabulation and summarization of data.

Interpersonal skills to exchange factual information with persons both within and outside the hospital.

Familiarity with medical or other specialized terminology may be required.


EXPERIENCE:

Between six and twelve months experience is required including that period on-the-job to learn procedures specific to the department.


WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:

Working conditions are generally good little discomfort due to noise heat dust etc.
Considerable walking may be required to gather and distribute materials around the hospital.
